WHAT DEALERCORTEX DOES

The AI operating system
for a car dealership.

A dealership is a machine with four moving parts: the cars you buy, the price you put on them, the people you bring to them, and the people who sell them. Every store already owns software for each part. Almost no store owns the connections between them. DealerCortex is those connections, built into one system, with an AI layer that reads every number and tells the owner what to do next.

Read the five playbooks →
01 · BUYDecide what to buy from this store's own sold history, not a national book.
02 · PRICEManage every car's price from landing to exit, with its full story on one screen.
03 · MARKETShow what every ad dollar touched, car by car, next to the inventory it should move.
04 · CONVERTRun the follow-up on every lead and customer, with agents that work the store's rules.

THE PROBLEM IT WAS BUILT FOR

Ten to twelve logins.
None of them talk.

Walk into a typical store and count the systems. An inventory tool for pricing. A separate tool for sourcing cars. A CRM. A website vendor. Call tracking. An agency running Google Ads. The DMS. A history-report subscription. Three auction portals. Each tells a piece of the story. That silence between them is where the money goes.

We bought it because it looked right on the lane.

The used-car manager buys a car the store's own history never supported. It sits. On day 45 somebody cuts the price and nobody can say whether traffic moved. On day 70 it goes back to the auction at a loss nobody ever added up.

The agency says leads are up.

The CRM shows 400 leads. A hundred and eighty were never called back after day one. The GM has no idea which lead came in on which car, or what that car's ad spend was.

My reports don't agree with each other.

Every one of those losses is visible in data the store already has. It is scattered across twelve logins, and the owner becomes the integration.

01 · BUYING

The system knows what to buy
before the sale starts.

The buying side is where DealerCortex started and where it is deepest. Every board runs on the store's own sold history and the store's own rules, so two buyers at the same store cannot buy two different ways.

  • SOLD → REPLACE
Sold Cars and ReplacementsEvery car sold in the last 30 days becomes a cohort with days to turn and front and back gross. The system then finds the replacements running at Manheim this week, lane by lane, with light, grade and MMR.
  • SALE DAY
Pre-Sale Buy ListEvery car on the run scored against the store's model set and rules. Red lights, as-is, branded titles, engine, transmission and check-engine announcements are stripped before a buyer sees the list. Ready before 7 AM Eastern on every sale day.
  • BLOCK
Auction Search and the OVE Buy AgentScan the whole Manheim block with saved searches per buyer. A daily OVE scan tiers every live car: clean under MMR, soft flags, heavy sheet metal with clean history, and the ones to never touch, each with the reason.
  • MAX BID
Profit Gap and Max BidHammer, buy fee, transport by real mileage, recon from the condition report, carrying cost, against the retail market for that exact car at that mileage. The output is a number the buyer can hold to on the lane.
  • RULES
Store buying rules, VIN Plan, Price GravityThe store's doctrine encoded once: ceiling as a percent of MMR, grade floor, mileage limit, radius, frame policy. Before a car is bought, the system shows how it will sell and when.
THE OUTCOMEThe store buys the cars its own history says will make money, at a price the math says is safe, faster than the stores it is bidding against.

02 · PRICING AND INVENTORY

Every car carries
its own story.

Once a car lands, DealerCortex tracks it every day. A price cut on day 20 sits next to the traffic on day 21. The owner can finally see whether the cut worked.

  • CAR PAGE
The price storyWhat the price has done since listing, what the market did over the same days, how much traffic the listing got each day, which leads came in on it, and what happened to each.
  • EXIT
The Exit LadderRetail at full margin, retail at a cut, wholesale to a buyer network, wholesale at auction. Each rung carries the dollar outcome and the date by which it must be taken. Aged units stop being a surprise.
  • QUEUE
The Reprice QueueCars behind the market, cars whose traffic died, cars at a rung deadline, queued with a recommended move and the reason. Repricing becomes a ten-minute daily routine with a record of who did what.
  • SUPPLY
Market Days Supply and demand tiersEvery unit against regional supply of that model and the demand for it, measured from search volume and listing velocity. Over-stocking shows up before the aging report does.
  • BASELINE
The 24-Month BaselineTwo years of the store's own sales, turn, gross and inventory as the benchmark. The question is never "is this good" but "is this better than this store's own last 24 months."
THE OUTCOMENo car ages quietly. Every unit has an exit with a date on it, and every price move has a reason and a result.

03 · MARKETING

Ad dollars tied to cars,
not to a monthly report.

The agency report says cost per lead went down. The owner wants to know which car the lead was on and whether the car sold. DealerCortex reads the store's Google Ads and analytics per VIN.

  • ADS
The Google Ads boardSpend, clicks, calls and leads by car. $140 spent on a car that got no traffic sits next to $30 on a car that sold in six days.
  • TRAFFIC
VDP traffic by dayOn every car page, the listing's daily views next to its price moves. The cut and its effect, on one line.
  • GRAVITY
Buyer GravityWhich models and price points the market is pulling toward in the store's radius, before the store buys them.
  • LOCAL
Local SEOWhere the store ranks for the searches that matter in its own zip codes, tracked over time.
THE OUTCOMEThe store keeps its agency if it wants one. The agency's numbers now sit on the same screen as the inventory they are supposed to move, and the owner can hold them to the car.

04 · CRM AND FOLLOW-UP

No lead dies
in the dark.

The CRM is built on one rule: on the basics it must be identical to the one the reps already use, so the switch costs the store nothing. Everywhere else it must be better.

  • PROVIDERS
Lead providers, measuredEvery source the store pays for, by what it actually produced: leads, appointments, shows, sales, gross, by month, with the dead ones named.
  • DAY BOARD
The rep's morningEvery call to make, in priority order, with the reason. A hot-signal engine watches for the customer who came back to the same car, a price alert, a text reply, and moves them to the top.
  • AGENTS
Follow-up programs, Win-Back, lost-deal auditEmail, text and voice on the store's own sending domains, every message short and specific to the car. Win-Back works the customers who went quiet and the sold customers coming back into market. The lost-deal audit shows what happened and what should have.
  • CALLS
Call coaching, missed calls, review invitesEvery sales call recorded and scored. Every missed call caught with a text before the customer dials the next store. Click-to-dial through the store's own call-tracking account.
  • PROOF
14-Day ProofThe leads that came in, what happened to each in the first fourteen days, and the sales that came from them.
THE OUTCOMEEvery lead has a next action with a reason, every customer who comes back gets noticed the same hour, and the owner sees proof, not a report.

05 · SERVICE, TRADES AND THE BACK OF THE STORE

Every car on the property,
from the hammer to the front line.

The same brain runs the parts of the store that most software ignores: the trade walk, the recon bay, the transport, the photos.

  • APPRAISE
The appraisal toolAny VIN: decode, market value, the store's own sold history for that model, the wholesale number, and an instant read with the reasons.
  • TRADE DESK
Every trade on a board with the buyers who want itWholesale exits lined up before the trade is even in stock.
  • RECON
Service and wholesale-exit boardCars tied up in recon, and which ones are costing more in days than they will return in gross.
  • ARRIVALS
Arrivals pipeline and photosA car tracked from the hammer to the front line with transport and dispatch built in. The phone walks the lot porter through the 24-shot list and uploads in the background.
THE OUTCOMEDays in recon and days in transit are counted in dollars, and the owner sees them before they become the aging report.

06 · WHAT THE OWNER SEES

One set of numbers.
Every number carries the next question.

Everything above rolls up into the owner's view, on the desk and on the phone. A count of aged units opens to the units, a unit opens to its story, a story names the decision.

  • GROSS
The Owner Gross Profit ReportIn plain language: where the gross came from this month and where it leaked.
  • ECONOMICS
Store EconomicsThe cost of a day on the lot, the real cost of a wholesale loss, the replacement cost of capital.
  • 7 AM
The sale-morning emailEvery sale day at 7 AM Eastern, the buy list is in the owner's inbox, ready.
  • MOBILE
The same brain on the phoneCar pages, buy boards, the appraisal scanner, the trade desk, lead boards and the photo tool. The owner at the auction and the manager on the lot see what the desk sees.
THE OUTCOMEThe owner stops assembling the answer from twelve reports and starts running the store from one.

WHAT IT SOLVES, IN THE OWNER'S WORDS

Six things owners say.
Six answers.

"We bought the wrong cars."The store buys from its own sold history with a max bid built from the real cost stack and the real retail market, under rules every buyer shares.
"We lost money at wholesale."Every car has an exit ladder with a date on each rung, and a reprice queue that moves before the loss is locked in.
"I can't tell what my ad money does."Spend, clicks and leads are tied to the VIN, next to the car's traffic and its sale.
"Leads die."A day board with a reason for every call, agents on every channel, hot signals for the customer who just came back, and a fourteen-day proof of what happened.
"My reports don't agree."One system, one set of numbers, measured against the store's own 24-month baseline.
"I'm paying for twelve tools."DealerCortex replaces the sourcing tool, the pricing tool, the CRM, the follow-up agents and the reporting layer, and connects to the ones the store keeps.

HOW A STORE COMES ON

A defined sequence,
not a sales promise.

For the first thirty days, automated outreach stays off while the store's data settles and the team learns the screens. A test lead is pushed through the whole system before any real customer touches it.

Inventory feed and price historyEvery car in stock, with the price history pulled back so the boards start with a past.
Sales history and CRM exportThe DMS sold history and the CRM lead export. This is what the buying boards learn from.
Analytics, Ads, calls, history reportsGoogle Analytics, Google Ads, the call-tracking account and the history-report account connected to the store.
Test lead, then liveOne internal lead end to end. Then the store runs on Eastern time with the sale-morning board ready before seven.
